Job Purpose:

The Administrative Assistant / Technical Coordinator is responsible for managing administrative functions, coordinating technical operations, and ensuring seamless workflow between technicians, clients, and management. This is a high-pressure role that requires excellent organizational, communication, and project management skills. The candidate must be able to work independently and as part of a team while handling multiple tasks efficiently.

Minimum Requirements:

  • Minimum of 3-5 years of administrative and coordination experience.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and attention to detail.
  • Ability to handle a high-pressure work environment.
  • Experience in project management and logistics.
  • Ability to work independently and as part of a team.
  • Candidate must reside in the areas of Strand, Somerset-West or Stellenbosch.
  • Candidates must have their own transport.

Duties will include but not limited to:

  1. Administrative Support:
    • Provide administrative support to the Managing Director.
    • Draft and manage invoices, quotes, and high-level reports.
    • Maintain organized records and documentation.
  2. Technical Coordination:
    • Schedule and coordinate jobs between technicians and clients.
    • Monitor project progress and ensure timely completion.
    • Process and track feedback to improve workflow efficiency.
  3. Procurement & Supplier Coordination:
    • Place orders with suppliers and manage supply chain requirements.
    • Ensure timely delivery of materials and follow up on pending orders.
  4. Logistics & Vehicle Management:
    • Oversee the scheduling and maintenance of company vehicles.
    • Ensure proper tracking of vehicle usage and compliance with company policies.
  5. Project Management:
    • Assist in the planning, execution, and monitoring of projects.
    • Ensure all project milestones and deliverables are met within deadlines.
  6. Interdepartmental Communication:
    • Liaise with various departments within TSU Group Holdings and associated companies.
    • Ensure smooth communication and collaboration between teams.

Salary:

Negotiable, depending on experience
